Things You Need To Know Before Completing a Graphic/Communication Request
PLEASE NOTE: IT IS VERY IMPORTANT TO SUBMIT YOUR REQUEST AS SOON AS POSSIBLE.
Step 1 – Decide what products you will need.
When completing the form, it is vital that we know up front all of the items you will need so that we can add it into our processing flow. Last minute additions may not be able to be processed depending on our current work load.

It’s important to note that the Creative Team has final say on the overall design and style of the product. You can trust that the Creative Team is keeping up with current trends, thinking about the audience (who the product is for), and listening to your input. Overall, the Creative Team will create products that reflect the overall brand of Trinity Church.
Step 2 – When do you need products in hand?
Please remember that your suggested deadline is not a guarantee of delivery, but rather a starting point for our records. Tickets will be handled in the order they are received.
Timeframes below are from the date when promotion should begin, not date of event. (For example, if you need 3 weeks to promote, then you need to ideally submit the graphics request 6 weeks out from date of event.)
Graphic Design Only: 3 weeks
Graphic Design & Outsourced Printing: 4 weeks
(includes 1 week of print/delivery. Orders are placed on Thursdays, delivered the following Friday. Please account for this when selecting the date you need products in hand.
Minimum of 6 weeks
At peak times of the year, production schedules will vary. Even the simplest of video requests may be queued behind a number of other larger projects. In this case, there may be times requests cannot be fulfilled. Projects are scheduled on a first-come, first-served bases.
When requesting a video, it is vital that we have all the info. Please complete ALL sections of the video piece on the form.
The more advanced notice and information the better.

STEP 3 – What happens next?
Upon completion of your request form, the Creative Team will discuss your project and add your ticket into the work cue.
Once the project has been designed, you will receive a digital proof. It is vital that you approve/make changes as quickly as possible to keep within ordering deadlines.
When the project is approved, you will need to provide the PO# for your project before it can be ordered.
Our goal in the marketing and promotions process is to help all our ministries become more successful. We want to be intentional about the way we communicate with the church as a whole. Our intent is to be purpose-driven and to have a process of providing people with information about our ministries and their events. We also want to create interest and excitement for you! This means we work together as a team promoting the combined ministries of Trinity Church with a spirit of harmony and mutual respect.
WHERE DO EVENTS GET PROMOTED?
All events are added to the Trinity Church website and can be located on the events page. Please provide all the details in the request form that you would like displayed on the website page. Your event graphic will be used. If you have a registration link, this needs to be provided as well. Ideally we want to put your event on the website a minimum of 3-4 weeks before the event.
PASTOR’S WEEKLY EMAIL
This is another place that can be limited to announcements. We generally try to include your event at least two weeks prior to the event date, sometimes more. If your event is listed in the graphics at the bottom of the email, it may not be displayed in the email content. Again, we try to get all events listed in one place or the other, but your event may not get both places. Please include a brief blurb on the request form to be used in the email. Depending on space, this may be edited to make room for other announcements.
The bulletin offers a limited amount of space for announcements. While we try to get all events listed for at least two weeks, it is not guaranteed. Rest assured we do our best to make sure your event gets the attention it needs. Please include a brief blurb on the request form to be used in the bulletin. All events can have a Facebook event on Trinity’s page. Additionally, we try to include what we can on scheduled posts on the Facebook and Instagram page and in Instagram stories.
Sunday slides are the graphics you see displayed before service starts both in the service and online. The goal is for an event to have at least two Sunday’s of promotional graphics.
SUNDAY VERBAL ANNOUNCEMENTS
Announcements made from the pulpit on Sunday’s are very minimal. We have to be respectful of time constraints within each service. Any announcement is selected by Pastor for that week. We have no more than 2 verbal announcements that can be made.
